Volunteer Instructions

All Volunteers

Before your shift:

  • Check in at the Expo information booth (blue canopy) in parking lot E46 near the Forbes Building.
  • Get a name tag (lanyard and vest if a floater) and a map.
  • Share your cell with the event personnel at the information booth.
  • Familiarize yourself with the Expo map, particularly the exhibits in your area.

At the end of your shift:

  • Check out at an information booth.
  • Return any supplies or equipment, including vests and lanyards.

Bus Greeters

Please arrive at Lot E14 near the southwest corner of St. Mary’s Road and Oak Street at:

  • 8:45 a.m. for those greeting the 9:00 a.m. group. Note: Campus Public Safety will also be assisting with crossing St. Mary’s Road from 9 a.m. to 9:30 a.m.
  • 10:45 a.m. for those greeting the 11:00 am group.

When greeting groups, please:

  • Give each bus driver a parking tag to display on their bus.
  • Provide teachers with any materials they need (e.g., maps, swag bags).
  • Cover important topics like bathroom locations, lunch areas, separated/lost child areas, first aid areas, and general exhibit locations.
  • Ask teachers to fill out the online survey following the Expo.

Afterward, guide groups to exhibits to avoid congestion, and make sure most, if not all, exhibits have students at them.

Crossing Guard/Traffic Control (Friday only)

You should ensure kids cross South Oak Street safely using the crosswalks.

Exhibitor Helper

As an exhibit helper, you will be assigned to a specific exhibit and assist with its activities as directed by the exhibitor(s). Make sure to check in at the information booth (blue canopy) in parking lot E46 near the Forbes Building to receive your exhibit assignment.

Floaters

Begin your shift by checking in with each exhibitor in your area. Introduce yourself and find out if they anticipate needing anything.

As a floater, you should:

  • Support exhibitors by offering restroom breaks, food room breaks, or bringing them refreshments or snacks.
  • Contact event staff (see lanyard contact information) on behalf of exhibitors if they need additional supplies, equipment, etc.
  • Direct visitors to the restrooms, food trucks, student lunch area (only on Friday for school groups), first aid resources, or other event areas, as requested.
  • Guide visitors to less congested areas if particular exhibits/areas become too busy.
  • Look out for and attend to litter, lost or unsupervised children, potential hazards, etc.

Food Monitoring

You have been assigned to help with either the Expo staff and volunteer food room or the student lunchroom (see PRI Expo Volunteer Assignments).

For those not familiar, Forbes 1005 is located on the first floor of the southwest side of the building. After you enter the building from the south, turn left, and the room will be straight ahead. Forbes 2064 is located on the second floor of the southeast side of the building, right after you enter through the southeast hallway to your right. ISTC 116 will be used as the other food room and is located on the first floor of ISTC (see map).

Expo staff & volunteer food room (Forbes 2064 & ISTC 116)

While monitoring the food room, please:

  • Ensure the rooms stay clean and tidy and that the food stays sorted. There will be gloves available to handle any food that needs direct handling. 
  • Restock food and/or drinks if they start running low.
  • Make sure that only Expo staff or volunteers are taking food. Gently remind those visiting the Expo that food and drinks are only for event staff or volunteers and that they are welcome to visit one of the food trucks in Lot E46 or the vending machines in the atrium of Forbes. 

Food room volunteers can float between the Expo staff/volunteer food rooms (Forbes 2064 and ISTC 116) and the exhibitors in the building to assess refreshment needs if they choose to. Note: Please keep room doors shut if you are not present to discourage Expo visitors from entering.

Student lunchroom (Forbes 1005, Friday only)

Students will bring their lunches. If assigned to the student lunchroom, please ensure the room stays clean and tidy between groups and help guide students into the room, as needed. When not assisting with the kids’ lunchroom, volunteers can assist with the Forbes Expo staff/volunteer room.

Information Booths

The Expo’s information booths — located south of the Evers Lab and at the entrance to Lot E46 by Forbes (tents with blue tops, see map) — will be the primary locations for event information.

As an information booth attendee, you should:

  • Provide assistance to anyone seeking information about the event.
  • Assist the event coordinators and personnel, as needed.
  • Check in exhibitors and give them name tags.
  • Check in volunteers (only at the information booth in parking lot E46, near the Forbes Building) and give them name tags or lanyards and vests (floaters) if the volunteer coordinator is not present. Make sure to have volunteers write their cell numbers down and pick up their T-shirts, if they have not already done so.
  • Distribute action plans to floaters, exhibitors, and patrons should the Expo be cancelled or moved indoors.

Additionally, if lost or unsupervised children are taken to an information booth, you should supervise them until they are reunited with their parents or teachers.
